2Veo Education ("the app") is an undergraduate medical-education tool. Its first module is the Imperial Anaesthetic Passport, which medical students use to record the clinical experiences they achieve during an anaesthetics placement. This policy explains what data the app handles and how. We aim to collect only what the passport needs.
Who we are
2Veo Education is part of the 2Veo suite and is provided for use with your medical school. We, together with your medical school's faculty, are responsible for the limited data described below.
What we collect
- Account: When you sign in with Apple, we receive a stable Apple user identifier and, if you choose to share it, your name and email. Apple may provide a private-relay email instead of your real address.
- Passport data: The details you enter — your name, placement site (hospital) and dates, the checklist items you tick, supervisor sign-offs, practical-skills records (including your level of involvement and brief supervisor feedback), your cannulation record, your reflections, and your end-of-placement notes.
- Feedback: If you send feedback, it is submitted under your name (see "Feedback" below), together with the app version, OS version and device model to help us reproduce issues.
No patient-identifiable data
The passport is designed so that you never enter patient-identifiable information. Case summaries are deliberately anonymised one-line SBAR notes. You agree not to enter any patient name, hospital number, date of birth, or other identifying detail anywhere in the app. Please follow your medical school's and the GMC's guidance on confidentiality.
Where your data is stored
Your passport is stored in your own iCloud (Apple CloudKit) so it follows you across your iPhone and iPad. Two categories of record are also stored in CloudKit's shared (public) database so your faculty can support your learning:
- Your passport summary for faculty (see "Sharing with your faculty").
- Feedback you submit.
Both are readable only by faculty administrators — other students cannot list, search or read them.
Sharing with your faculty
So the faculty can see that every student achieves a realistic set of core experiences, and can build cohort statistics (for example, where students sit on a centile chart for the number of iGels inserted), the app shares an identified copy of your passport with faculty administrators. This includes your name, placement site and dates, and your passport metrics and records (the anonymised detail described above — never any patient-identifiable data).
This sharing is a core part of how the passport works and is not optional — by using the app you consent to it. Only faculty administrators can read this data; it is used for education, supervision and cohort analysis, and is not sold or used for advertising.
Feedback
Feedback in 2Veo Education is not anonymous. Because the faculty want to know which students are engaging and to follow up where helpful, your feedback is submitted with your name and is visible only to faculty administrators. If you add a reply-to email on the feedback form, it is used only to respond to you.
What we do NOT do
- We do not sell your data.
- We do not use third-party advertising or tracking SDKs.
- We do not ask for, or want, any patient-identifiable data.
Retention and deletion
Your passport remains until you delete it. Signing out preserves your data for when you sign back in. You can permanently delete your account at any time from Settings → Delete Account. This removes your passport from this device and your iCloud and — importantly — also deletes the identified copy available to your faculty (your cohort record) together with the feedback you submitted. Because the faculty copy is removed as part of it, account deletion needs an internet connection: if you are offline it is cancelled and nothing is deleted, so you can try again once reconnected. Fully revoking Sign in with Apple is done separately from iOS Settings → your Apple Account → Sign in with Apple.
Age
2Veo Education is intended for enrolled medical students and is not directed at children.
Changes
We may update this policy. Material changes will be surfaced in the app for you to review.
